It can be difficult to get payments at the best of times from your customers without having to deal with Christmas. Christmas often sees people spending money on presents rather than on their due and payable accounts. To get your account paid try the following methods:

Send accounts early. Sending your accounts out earlier than normal will help you to get money in quicker and payments on time. December may see you struggling to receive any money so send them a.s.a.p.

Phone customers. You might like to ring your customers prior to their account being due to ensure that you will receive payment on or around the account due date. This could reduce the amount of people likely to pay late.

Offer a Christmas discount. As a Christmas generosity you can provide a small discount to those customers who pay their bill prior to the due date. Your discount only needs to be 1% or 2% off the total price payable which to a customer can be a lot, especially when saving to buy their loved one something special.

Deposits. For new customers wanting to use your business prior to Christmas you may decide to implement an initial payment strategy which allows you to collect a portion of money from your customer, ensuring that you have sufficient money coming into your business. Furthermore, if your customers are adaptable to your business you may decide to ask for a deposit, only during the months of November and December.

Part payment opportunities. Depending on the size of your customer accounts and orders, a part payment system might be suitable for your business. This system allows you to collect money on a regular basis over a specified period of time without putting the customer into hardship. Again this will help you to collect funds for your business.

Competition. Again this will depend on your type of business and what you can offer, however a competition can be setup for account payers. You might have a Christmas hamper or go to an extreme such as a Christmas holiday, in which your customers will enter free when they pay their account by the specified date.

Getting paid for your goods and services on time is important and therefore you may need to implement some measures over the Christmas period to ensure you receive your money when it is due and payable.

The on-going “euro crisis” has the potential to make borrowing money from the banks even more difficult. At a time when many businesses are struggling for working capital this could be more potential bad news for many businesses. The good news however, is that there are smaller and independent finance companies willing and able to provide alternative and viable funding solutions to the high street banks.

Invoice finance such as factoring and invoice discounting is one of the fastest growing forms of funding. Once often viewed a lend of last resort, factoring and invoice discounting is the preferred choice of finance for many SME businesses. Invoice finance releases cash against unpaid invoices typically at 80-85% providing much needed working capital. Unlike a bank overdraft which is often repayable on demand and is restricted by the level of available security, a factoring or invoice discounting facility will grow with your business and provide a long term working capital solution.

Whilst high street banks provide such facilities it is widely recognised within the financial community that there are many independent alternatives and specialist invoice finance companies providing a much higher level of service, expertise and flexibility. It also makes good financial sense not to have all your eggs in one basket and have a separate invoice finance provider to your clearing bank.

Which funder is best for you will depend on the circumstances of your business. Whilst there are many factoring and invoice discounting companies many have slightly different areas of expertise and specialise in slightly different sectors and business types. Turnover, length of time in business, degree of profitability, size of your debtor book, contractual debt, export and import requirements, and geographic location are a few of the factors that need to be taken into consideration.

A good independent factoring broker will be able to narrow the choice of many down to 2 or 3 of the most appropriate providers. XL Business Finance has been helping business for over 10 years and providing expert knowledge to ensure that the most suitable funding solution is found.

Examples include:

FACTORING – New start up Printing Company. We chose a small local funder so the customer was never more than one or two phone calls away from decision maker /director. A highly level of customer service and hands approach ensured that debts were collected in a professional and timely manner enabling the owner to get on with running his business.

CONSTRUCTION FINANCE – Building Company. This large national based builder had previously been advised by his bankers that he wasn’t fundable due to a contractual element to his debtor book. A specialist finance company was able to arrange funding against staged invoices and contractual application for payments.

INVOICE DISCOUNTING / EXPORT DEBT – Engineering co. A 5.0m facility was provided via a large international finance organisation providing export funding as well as standard domestic invoice finance.

IMPORT FINANCE / FACTORING – Wine Importer. Against presold goods to a large UK chain of supermarkets an import facility was provided to the customer to import cases of wine. On delivery to the customer’s premises and on issuing an invoice to the customer the factoring repaid the import facility providing a 100% funding solution from start to finish.

1. The invite

Remember that Christmas is a Christian holiday, so do not insist that all staff attend the Christmas party. An ‘end of year party’ may be more appropriate, but do not pressure someone to attend if they don’t want to on the grounds of religion. If the event is out of hours, also remember that some people have family responsibilities that may prevent attendance.

Secret Santa gifts, although a fun way of exchanging gifts, if inappropriate (notably underwear and sexy toys) may cause offence. These types of gifts have sparked complaints in the past. As a precaution ask staff to ensure that all gifts are inoffensive.

2. Decorating the office

Use a stepladder to put up decorations – no skateboarding on a swivel chair across the office please. Don’t hang the tinsel on computers or other sources of heat; and don’t decorate emergency exit signs.

The TUC and Royal Society for Prevention of Accidents (RoSPA) warn that your insurance may not cover damage caused by untested electrical equipment – so despite the fact that they brighten up the office on cold, miserable winter days, do remember to switch off those tree lights before going home.

Other festive hazards, and yes it’s hard to believe, include; party balloons, they can kill around 3.6 million people in Britain who suffer from some degree of latex allergy. Over 1,000 people were injured by Christmas trees in 2002, so make sure they are
secure and won’t be knocked over by people passing by or pulling cables.

Fresh party food should be kept in a fridge before the party; use paper cups, not glasses; move computers out of range of spillages; and avoid indoor fireworks, flaming puddings, candles and smoking. You would be amazed what some people will do to light up the party – make sure they don’t ‘light up the building’.

3. Free booze

Employers providing free drink or putting a credit card behind a bar should be careful. In one case, three employees of the Whitbread Beer Company got drunk and had a fight after a seminar on improving behavioural skills. They successfully argued that their resulting dismissals were unfair. A relevant factor was that the employer had provided a free bar – and thus condoned their behaviour. Also remember that not everyone drinks alcohol, ensure that there are drinks to suit everyone’s preferences.

4. Age limits

Keep an eye out for the apprentice or junior in your office. Employers and managers alike cannot allow under-18s to drink. In an extreme example, an employer was found responsible for the death of a girl at the office party due to alcohol poisoning.

5. Tables and photocopiers

Now those of you who traditionally like to dance on desks, beware that this activity is likely to cause damage to property and people. It amounts to misuse of company property, additionally you can fall off the table and severely hurt yourself, you don’t want to wind up in hospital for Christmas. Photocopying of body parts and other leisure activities on such surfaces may result in misuse of company property. Make it clear that such activities will not be tolerated or that certain parts of the office are out of bounds on the night of the party.

6. Don’t ignore drugs in the loos or anywhere else for that matter.

Under the Misuse of Drugs Act of 1971, it is an offence for an employer to knowingly permit or even to ignore the use, production or supply of any controlled drugs, from cannabis to cocaine, taking place on their premises. There is also the possibility you will be in breach of the Health and Safety at Work Act 1974.

7. Misguided by mistletoe

Your staff policies on bullying and harassment and discrimination still apply at the office party. Just make sure everyone knows this and knows what they are. This is one reason why mistletoe is dangerous. A survey reported by ContractorUK found that, while 80% of women would laugh off a pass made by a male co-worker, boss or client, 13% would lodge a complaint. One person’s perception of a ‘bit of fun’ is another’s perception of ‘harassment’.

An extreme example of such misbehavior involved a man telling a female colleague that she “needed a good man,” adding that he would like to try her out in bed. At the Christmas party, the man pulled her dress down and made disparaging comments. A claim of sexual harassment succeeded and an award of £10,000 was made for injury to feelings.

The laws on discrimination apply at the office party regardless of location. So when one man told a female colleague, “f****** hell, you look worth one” at an after-work leaving event taking place in a local pub, the tribunal had little difficulty in ruling that it was in the course of employment and therefore discriminatory.

Employers can find that they end up paying for unwanted advances between co-workers if tribunals characterise the behavior as evidence of a culture of vicimisation or harassment.

Sometimes misconduct will be clear. In one case, a senior manager drank heavily at the Christmas party, assaulted some colleagues and told the director to “stick his f****** job up his arse.” He was thrown out and broke the window of a pensioner’s house. Perhaps unsurprisingly, his claim for unfair dismissal failed. But don’t overlook the behaviour of others. For example, if your party budget extends to an after-dinner speaker, choose carefully. A comedian performed for one company, the host hotel was deemed liable for the offence caused to Afro-Caribbean waitresses by the comedian’s racist jokes.

8. Manage expectations‘

Alcohol can cause some people to do and say ‘daft’ things, ensure that your staff don’t underake ‘performance reviews’ during the office party. In one case, an employee claimed his boss had promised him a higher salary “in due course” during a chat at the Christmas party. His pay remained static so he quit and claimed constructive dismissal. The employer won the case but only because the nature of the promise was vague. It was a lucky escape as a promise made at a Christmas party is still a promise.

A similar issue is the Christmas bonus. If you have paid a discretionary Christmas bonus for several years, staff can argue that it has become contractual through custom and practice. So if times have been tough and you can’t afford to pay a bonus this year, tell staff why you feel unable to pay it and try to agree a solution. ACAS suggests that you could offer to pay a proportion of the bonus or stagger payments in the next few months; or you could offer to pay the drinks bill at the Christmas party (but be mindful of Top Tip 3 & 4).

9. Getting home

If a member of staff has clearly drunk too much at the office Christmas party and plans to drive home, don’t let them, the employer needs to take responsibility. ACAS points out that he has a duty of care to his employees – and because it’s the company’s party, he must think about travel arrangements. Consider ending the party before public transport stops running; or provide the phone numbers for local cab companies and encourage staff to use them. This doesn’t mean you have to pay for the cabs, just make sure that there are cabs available.

10. The morning after

If the party is mid-week and people are expected in work the next day, ACAS recommends that you provide plenty of non-alcoholic drinks and food. Before the party, ensure that all staff know that disciplinary action could be taken if they fail to turn up for work because of over-indulging. The alternative is to arrange for an evening when there is no work the next day.

Liquid lunches are another risk. If there is urgent work to be done, disciplinary action may be appropriate if staff are late back to the office or intoxicated. But bosses must be careful: a history of festive tolerance could be used as evidence that disciplinary action against an individual is unfair.

Also ensure that proper procedures are followed. At an Ardyne Scaffolding Christmas lunch in the early 1990s, a worker returned a few hours late to work after drinking too much. It was the day before the Christmas holiday was due to begin. Ardyne Scaffolding saw this as gross misconduct but decided to tell the employee after he had sobered up – which meant waiting until after the Christmas holiday. The worker learned of the dismissal through gossip during the holiday and claimed unfair dismissal. He won. The Employment Appeals Tribunal decided that, while it was reasonable to wait for Mr Rennie to sober up before being told that he would be dismissed, and while the holiday had complicated matters, this did not justify a failure to follow a clear procedure.

When all is said and done, it is about taking a sensible approach to dealing with events surrounding this holiday period and any event arranged by the Comapny. So instead of ‘Bah Humbug’ let me wish all of my readers a very HAPPY HOLIDAY SEASON and enjoy ‘the do’.

This is the first in a series of website guides, and the topic that everyone is interested in currently is: “How to I get to the top of Google?”. So this is a valiant but vain effort to condense my entire SEO expertise into series of short articles. Some of these tips you can manage in a non-techie way, or you *may* have to ask your webmaster to make the necessary edits. Don’t, though, expect that they will have done this automatically. So here are your 10 Top Tips for SEO Success.

Make good use of “Title” tags – A title tag tells users and search engines what the topic of a particular page is. Ideally, you should create a unique title for each page on your site, as the contents of the title tag will usually appear in the first line of the results. It should contain the keywords or phrases that you are looking to be found for, but keep it brief.

Make use of the “Description” tag – Description meta tags are important because Google might use them as snippets for your pages. This gives the user clues about whether the content on the page matches what he or she is looking for, and gives the opportunity for you to include some sort of attention-grabbing message.

Use heading tags appropriately – Use heading tags to emphasise important text. Heading tags are used to present structure on the page to users. It will also help skim-reading a page so that users can focus on relevant content.

Make your site easier to navigate – The navigation of a website is important in helping visitors to quickly find the content they want. It can also help search engines understand what content the webmaster thinks is important.

Use mostly text for navigation – Controlling most of the navigation from page to page on your site through text links makes it easier for search engines to index and understand your site. This can often be more reliable than Flash or JavaScript on mobile devices.

Offer quality content and services – Interesting sites will increase their recognition on their own. Creating compelling and useful content will likely influence your website more than any of the other factors, and help conversions on the site.

Create content primarily for your users, not search engines. Avoid:

inserting numerous unnecessary keywords aimed at search engines but are annoying to users

having blocks of text like remorseless lists of Counties etc.

deceptively hiding text from users, but displaying it to search engines

Prepare two sitemaps: one for users, one for search engines – A site map is a simple page on your site that displays the structure of your website. An XML Sitemap file (which you can submit through Google’s Webmaster Tools), makes it easier for Google to discover the pages on your site

Notify Google of mobile sites – Configure mobile sites so that they can be indexed accurately. Mobile sites not only use a different format from normal desktop sites, but many sites were designed with mobile viewing in mind but not to be search friendly.

Know about social media sites - Sites built around user interaction and sharing have made it easier to match interested groups of people up with relevant content. This will help inbound or ‘back’ links. Hot topics in your niche or community could spark additional ideas for content or building a good community resource.

Always try to find better ways of doing things. If you are able to cut down a process because it is going to save you time or it is going to make the process more efficient then do it.

Remember that improving means that there is a better way of doing them and hence you don’t want to reverse that by implementing something that is far more complex and time consuming than the old way. Without contradicting this, it is important to realise that just because you have been doing same thing the same way for ten years doesn’t mean that that is the most practical or efficient method.

Improving your systems may include manual processes as well as automated or computerised ones, so be sure to broaden your horizons, look at all possibilities and alternatives for improving rather than suspecting that it is one particular area and assuming this needs to be fixed.

Eliminating old documents or obsolete items will assist you in being better organised and have healthier processes, because people won’t revert back to or use things that don’t apply any longer.

Improving your systems will help you to be more competitive, service your customers better, have a better turn around time, be more productive, be more efficient and have a more organised business.

Once a year it is an ideal situation to gather your staff and brainstorm items that should be reviewed, systems that need to improved and things that are now obsolete or should be discarded.

When you decide to improve a system be sure to study how the work currently flows and if there are any glitches, problems, hesitations or areas that hold up the flow. Identifying these things will help you to decide on preventative action and strategies to reduce the inconsistency.

Efficiency is doing things right, effectiveness is doing the right things!

Every workplace has internal politics, even the ones that say that they don’t. Internal politics can be a negative or a positive contribution to the business depending on how they are executed in your workplace. To get an insight on how the politics are run in your business you need to identify the possible political arenas that could occur or co-exist in the business. These will include, minimal, moderate, highly and pathological political arenas.

Minimal Politics

This will be an amicable atmosphere where debate and conflict are rare. If a conflict should arise it will only last a very short time. In this environment peoples’ promotion and other gains are seen as a positive rather than a loss to others. This is an ideal environment for those who don’t like being in a political struggle or an aggressive political environment.

Moderate Politics

These businesses operate on commonly understood and authoritative rules. They are often small, fast moving firms where customer focus, results, teamwork and trust play a huge role in the business. Should a conflict become out of control in this type of business the manager will all ways return back to the rules and call upon them to resolve the matter. Some larger businesses may have a moderate political arena especially when the focus on the dexterity and agility factors.

Highly Political

Conflict is likely to occur in a business that has a high political arena. People rely on aggressive political methods to resolve the issue in which unfortunately hinders the problem rather than constructively focuses on a resolution. Formal rules aren’t regularly applied in this type of business and are more than likely only pursued and applied when it is convenient. Groups are clearly defined in this business and communication lacks with senior managers and authorities. It can often run at an extreme dysfunctional pattern as placing blame is a regular event and looking for solutions to problems is rare.

Pathological Politics

These businesses have an unstable workplace and are likely to selfdestruct. It is an untrusting environment and conflict continues for a long period of time. Interactions with team members are often uncomfortable and awkward. Most the time people are covering their tracks and respect is a lacking contribution within the business. Each political arena has its weaknesses and therefore changes and adjustments should be made to ensure the workplace is a comfortable, enjoyable place to be with minimal political pressures as possible. If politics are high on the business agenda and need to be reviewed, below are some things that can be changed to reduce the possibility of self destruction.

Flattery – this can be a dangerous situation. If senior management or people in high positions are regularly receiving flattery it can cause aggression and discomfort toward these people. Flattery should be given wide spread across both sectors – the people in lower rated jobs and those in higher positions.

Communication – if information is regularly with held because someone doesn’t want to rock the boat so to speak, then this will potentially be a disadvantage to your team and your business. People need to be encouraged to speak freely and contribute ideas, successors and have an opinion whether it to be agree or disagree.

Gossip – even where there is a small amount of conflict, gossip and backstabbing is a common occurrence in the workplace. Reducing this can be difficult but must be controlled and sorted through resolution and strategy.

Indifference – having an environment where no one is valued and everyone is considered as dispensable is a disturbing environment as everyone is looking out for themselves while battling others so that they can get them before they get you.

Mislead – misleading others so that the credit can be passed to someone else is a factor that needs to be eliminated. Teamwork is what brings a business to success and therefore the lack of support to each other in the workplace can have a devastating affect. The sacrificing of others so that you don’t look bad is a brutal move that will concern everyone.

Managing workplace politics requires you to decide on a political style that will match your workplace culture. You will need to determine if you are:

A Purist – hard work will get you everywhere, politics rarely exist and rules are relied on to get things done.

A Team Player – working together will get you ahead while politics are used equally to advance the goals of the group. Group needs are put ahead of career and focus is on doing the job right within a moderately political environment.

A Fighter – an individual. Politics are likely to be subliminal but will invoke rules when they help to achieve personal goals. Trust doesn’t come easy and their tactics are to achieve above the rest. The fighter is a survivor and will battle through high political arenas and pathological ones.

A Manoeuvrer – an individual with a mind to play political games. This is their plan to get ahead however it is very skilled and unobtrusive. A manoeuvrer will use politics to meet their objects but not as much as the fighter. They can be related to as a smooth operator and do things to suit them and if it will benefit them in some way or other and will squash those who get in their way. They are ideally suited to highly political and pathological arenas.

Politics exist whether we want them to or not. You just need to identify and eliminate at prevalent times and maintain a focus on how your business needs to be run to meet its objectives. If you are able to make politics work to meet the business objectives and it doesn’t cause lack of productivity, self-destructiveness or team morale.

Improving productivity means that you are going to be measuring the amount of output per unit of input from the business.

Defining this in a more understandable term, traditionally means that you are going to assess productivity by measuring the dollar value of output against each pound of input (labour and capital expenses included). This is the most common technique for measuring productivity but you maybe required to look at alternatives if this does not suit.

Improving your productivity is usually resolved by the implementation of new equipment and technology, however this shouldn’t be the only thing. Staff are a huge contribution to your business and without the man power or expertise you probably wouldn’t be able to run your business in such a success full manner, so improving your staff through training, team building, etc will assist in productivity levels.

You should also consider goals setting or aims for your business and the individuals employed by you so that everyone has something to work towards and a common achievement is being endeavoured.

Productivity at the end of the day relies on your systems and procedures so even simple tasks as filing will have a huge impact on future activities and the business as a whole.

You will need to continually assess your business activities and ensure that they are being managed to their full potential and staff are utilising their skills in conjunction with the methods in the best way possible.

Increasing productivity requires better management skills, effective and functioning systems and procedures, motivation and commitment from the team and overall dedication from all team members.

If you are like most business owners when it comes to marketing, you’ll be unsure of what works and what doesn’t or at worst, you’ll have a long list of things that don’t work because you’ve wasted thousands over the years. Well here are a couple of key facts to help us feel confident about our marketing:

Marketing is predictable: If I get a mailing list and write to the first 100 names and get 3 enquiries; I can be pretty sure that I will get in the order of 30 enquiries if I send the same letter to the next 1000 on the list! If I invite 20 past customers to an evening reception at my shop to launch my summer range of designer shoes and I get 5 acceptances; I’m going to get around 50 acceptances if I invite 200 past customers!

Marketing doesn’t need to be expensive: Now I know it’s predictable, I can do small marketing campaigns and repeat and extend the ones that work.

So here are the tips:

Commit to test at least one new campaign per week or month depending on your business. This needs to be small. Send 100 letters, make 30 phone calls, send 100 emails, and increase the prices on one product line….

Measure the enquiries you generate.

Do more of what works! And continue to test and measure.

Simple…

Why competition is good… I used to hear people say, competition is a good thing and think they were mad! But here’s a test for you: You are looking at a busy street and you want to open a new gourmet burger restaurant. There are two vacant premises. One is situated at the end of the street between a book store and a chemist and opposite a small supermarket. The other premises is at the other end of the street between a McDonalds and a Burger King and opposite a Kentucky Fried Chicken Restaurant. Which unit will you choose for your new venture? Lots of people opt for the one next door to the book shop on the basis that because there is no competition, they will ‘clear up’. Sadly what these people find is that they struggle because all the hungry people are at the other end of the street because the big chains have huge marketing budgets. The smart person opens their gourmet burger bar between McDonalds and Burger King but instead of competing directly, they differentiate their offer and say – look, these guys are great, but if you fancy paying a little more for a gourmet burger experience then give us a try! Let McDonalds and Burger King build your footfall for you – then all you have to do is offer something a little different.

Marketing advice to help you prosper in tough times: The lesson we have learned from past recessions is that we must continue to market. Those that do, will be the winners. They win during the recession and perhaps more importantly, they win even more after. With this in mind, below are the reasons people buy from the people they buy from. This gives us an important insight into how to gain and retain customers. In reverse order, the top five reasons were as follows:

Price: During tough economic times, contrary to what some might say, price is even less important. Customers do become much more value focussed though. If your customers are arguing the price either they can not afford you (so stop selling) or they do not see the value in what you are proposing.

Range or Selection: Having an enormous range is not the point here. Make sure you understand your customers well enough to offer them the choice they want.

Product / service quality: . The features of the product or service are important to your clients. They want to know how it will deliver the benefits highlighted in your marketing campaigns. Make sure you are good at what you do.

Customer Service: Specifically, this means doing what is required to make sure your product or service does what it says on the tin. Sometimes we fall short of this. When we do is the time to go the extra mile.

Confidence: Here we are – the biggest reason people buy from us is because they have confidence in us to meet their need better than our competitors. You need to maintain this confidence with regular contact so your customers remember that you care. Our own research has shown that 68% of customers who leave, do so because of perceived indifference. If you care about your customers; make sure you show it.
